Who we are

Total Retention is an email and social media marketing agency operated by Matt Andreasen. We are the data controller for the personal information described in this policy. You can contact us at hello@totalretention.co.uk.

What we collect

When you request a free audit or email us, we collect the details you give us:

• your name and email address
• your brand or business name and website
• the type of audit you want, your social media platforms and handles, and your email platform
• anything you tell us about what you would like to improve

We do not ask for sensitive personal information and we do not collect payment details through this website.

How we use it, and why

• To respond to your request and carry out your free audit. This is because you have asked us to take steps before entering a contract, and it is in our legitimate interests to answer enquiries.
• To discuss and deliver our services if you choose to work with us.
• To keep in touch about our services only where you have agreed, or where it is in our legitimate interests and relevant to your enquiry. You can ask us to stop at any time.

Who we share it with

We do not sell your information. We use trusted providers who process it on our behalf, such as our website hosting provider and our email provider. They may only use your information to provide their service to us.

International transfers

Some of our providers may store or process information outside the UK. Where this happens, we rely on appropriate safeguards, such as the UK’s approved transfer mechanisms.

How long we keep it

We keep enquiry details for as long as we need them to deal with your request. If an enquiry does not lead to us working together, we delete the details within 24 months. If we do work together, we keep records for as long as required for the work and for legal and accounting purposes.

Your rights

Under UK data protection law you have the right to:

• access the personal information we hold about you
• ask us to correct anything that is wrong
• ask us to delete your information
• ask us to restrict how we use it, or object to our use of it
• ask for a copy of your information in a portable format
• withdraw your consent at any time, where we rely on it

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
